The Operations Representative (Ops Rep) is a fast-pace, field-based, position that owns the coordination and execution of all onsite charter operations activities, logistics, vendor / service provider management and oversight of all day of charter functions. This is a "road warrior" role, that will travel with Gridiron Air aircraft to deliver extraordinary client service and logistics support. The Ops Rep will own the operation in real time, on location, and coordinate with the OCC for day-of-charter required support and services. They will ensure all timelines are maintained, directly support on-time departures and confirm that Gridiron Air fulfills our contractual agreements and expectations. They will serve as the official onsite Gridiron Air representative in support of passenger check-in, aircraft loading, HAZMAT acceptance, and flight closeout activities (manifest, weight & balance calculation, etc.). When needed they may also function as the onsite Ground Security Coordinator (GSC) and Compliant Resolution Officer (CRO). This position is a DOT safety-sensitive position and is subject to Gridiron Air DOT Drug & Alcohol prevention program testing requirements.

Requirements

  • Minimum of one year experience in (Charter Operations, Cargo Operations, Inflight Operations, Ground Operations, and/or Vendor or Service Provider Operational Execution Experience).
  • High School diploma or equivalent required
  • Knowledge of Part 121 ramp, servicing, and pax handling operations.
  • Functional knowledge of Microsoft Office and Business Applications.
  • Proven written and verbal communication skills
  • Results-driven mindset with a proven ability to be inquisitive and identify and implement process improvements.
  • Strong motivation and leadership skills with the ability to lead and influence people
  • Strong organizational, interpersonal and communication skills
  • Domestic & International travel up to 100% of the time
  • Exerts up to 50 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Involves sitting most of the time but may involve walking or standing for brief periods of time.
  • Must be flexible to work all shifts, including evenings, weekends, and holidays.
  • Passport prior to employment with no limitations or criminal history preventing entry to anywhere Gridiron operates.
  • Must possess and maintain a valid, unrestricted driver’s license with a clear driving record; this position supports Operations Control functions and requires operating a motor vehicle, so a valid license and driving record free of violations are required as a condition of employment and may be subject to periodic motor vehicle record (MVR) checks.
  • Employee will be exposed to outside weather conditions which may include wet and/or humid conditions and extreme heat and cold. The noise level in the work environment is often loud.
  • This position requires frequent travel (up to 100%).
  • While performing the duties of this job, the employee is required to speak, write, and understand English.
  • Employees must also adhere to Gridiron Air's Drug and Alcohol policies.

Responsibilities

  • Serve as the onsite company representative for Gridiron Air charter operations, working cross functionally to execute all aspects of the trip plan.
  • May need to arrive on location 24 to 48 hours in advance of flight as the onsite "advance" team member, confirming logistics, all trip handling, airport facility readiness and staging of facility and equipment prior to arrival of Gridiron Air aircraft.
  • Own onsite day-of-charter operational execution driving execution milestones against plan and ensuring smooth, consistent and flawless performance of all logistics, handling, operations and day-of charter timelines.
  • Communicate proactively and professionally with Gridiron Air peers, clients and passengers as needed providing timely updates on flight status, changes, or requirements.
  • Provide real-time updates and proactive day-of-charter communication to Gridiron Air Operations Specialist / OCC as needed, including assisting flight crew and OCC in resolving Charter Operations issues / discrepancies during trip irregularities.
  • Accomplish various onsite operational responsibilities as required including client interfacing, vendor / service provider management and oversight, logistics coordination, security coordination, boarding management, aircraft loading, and aircraft closeout activities (e.g. passenger manifest completion and transmission, weight and balance load sheet preparation and transmission, etc.)
  • Oversee all aspects of passenger check-in and boarding for Gridiron Air flights, including directing onsite service providers and Gridiron Air team as needed. Manage last-minute no-shows and go-shows, keep passenger manifests current, and confirm all required security checks are completed prior to boarding.
  • Ensure all resources (personnel, facilities, and equipment) meet contractual agreements and client expectations, enable on-time departures by confirming vendors / service providers are delivering on contracted services and meeting operational timelines.
  • Track completion and contract fulfillment of required vendors / service providers (FBO handling, ground transportation, catering, branding, parking, lavatory servicing, aircraft cleaning, aircraft de-icing, etc.) all aspects of contracted services have been delivered for the respective charter operation.
  • Proactively communicate during charter operations to identify problems early, manage disruption, and ensure continuity of client service and contract expectations.
  • Serve as onsite loadmaster and ensure all cargo is loaded within aircraft loading limitations.
  • Serve as the onsite hazardous materials (HAZMAT) authorized representative for the purpose of accepting or denying carriage of HAZMAT cargo aboard Gridiron aircraft, consulting and coordinating as required with the Pilot-in-Command to resolve onsite disagreements or discrepancies regarding carriage of passengers, cargo, or HAZMAT.
  • Function as the Complaint Resolution Officer (CRO) and/or Ground Security Coordinator (GSC) during Gridiron Air charter operations as needed.
  • Ensure on-site charter operations vendors and/or service providers have completed all required training required for Gridiron Air charter operations by verifying and auditing training records and comparing onsite personnel with authorized employee lists.
  • Record data and maintain records in support of Gridiron Air service and logistics contract adherence and vendor / service provider management including proper reporting of safety hazards as discovered.
  • All employees are expected to be well-versed in the Gridiron Air Safety Management System (SMS). They should be proficient in carrying out duties in line with their training and participation in the SMS. Moreover, they are encouraged and supported to identify and report safety hazards, detect safety shortcomings, and voice safety concerns within the operation, thus promoting a proactive safety culture.
  • May perform other responsibilities as assigned based on business needs and shifting company priorities.
