About The Position

Cohere is seeking an Operations Manager, Contracts & Compliance to join their Corporate Operations team. This role will oversee critical functions including contract administration, compliance coordination, legal operations support, business licensing, process documentation, and operational project management. The position involves working closely with leaders across the organization to ensure accurate agreement execution, compliance with requirements, proactive risk management, and the development of scalable and effective operational processes. Requirements

  • 3-5+ years of experience in operations, contract administration, compliance, legal support, project coordination, or a related field.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • High level of integrity, professionalism, and discretion.
  • Proficiency with Microsoft Office and document management systems.
  • Experience working with contracts, legal documentation, or compliance programs.
  • Familiarity with business licensing, insurance administration, or regulatory compliance.
  • Experience using workflow and document management platforms such as Monday.com, SharePoint, or similar systems.
  • Ability to work independently and collaboratively across teams.

Nice To Haves

  • Bachelor's degree in Business Administration, Operations, Legal Studies, or a related field preferred.
  • Experience in community management, real estate, homeowner associations, or related industries preferred.
  • Ability to occasionally travel for meetings, training, or company events, as needed.

Responsibilities

  • Manage the full proposal-to-contract lifecycle, including proposals, service agreements, amendments, and renewals.
  • Coordinate contract preparation and execution using approved templates and processes.
  • Serve as a liaison between internal stakeholders, external partners, and legal counsel.
  • Review agreements for accuracy, completeness, and alignment with approved proposals.
  • Maintain contract records, documentation standards, and renewal tracking systems.
  • Monitor contract deadlines, renewals, and terminations while coordinating follow-up actions with operational leaders.
  • Maintain business licenses, registrations, and corporate filings across operating markets.
  • Coordinate annual compliance requirements, renewals, and regulatory filings.
  • Support new community onboarding and market expansion efforts by ensuring compliance readiness.
  • Assist with insurance administration, renewals, and certificates of insurance.
  • Maintain compliance documentation and reporting records.
  • Coordinate with internal leadership and external legal counsel on organizational legal matters.
  • Track legal requests, documentation, trademark renewals, and project timelines.
  • Maintain organized legal records and support risk management initiatives.
  • Participate in legal coordination meetings and monitor active matters.
  • Develop and maintain workflows, SOPs, and process documentation.
  • Manage document retention standards and organizational filing systems.
  • Conduct audits to ensure documentation and compliance requirements are met.
  • Provide training and guidance on contract, compliance, and documentation processes.
  • Generate reports related to contract activity, compliance deadlines, and operational metrics.
  • Identify opportunities to improve efficiency, accountability, and consistency across the organization.
  • Serve as a resource to internal teams on contracts, compliance, and operational best practices.
  • Support a culture of accountability, collaboration, and continuous improvement.
  • Contribute to special projects and strategic operational initiatives.
  • Perform other duties as assigned.
