About The Position

Join Smart WFM as our Operations Officer – Governance, Contracts & Compliance and help build the operating discipline behind one of Australia's leading workforce technology consultancies. As an Operations Officer, you will play a critical role in ensuring our governance, contract management and operational compliance activities support sustainable growth while protecting both our clients and our business. Reporting to the Chief Operating Officer, you will work across operations, commercial, delivery and leadership to ensure client commitments, governance processes and contract obligations are organised, visible and consistently delivered. You will become the central coordinator who helps transform complex agreements and operational requirements into practical business actions. This is a highly collaborative role that combines governance, contract administration, operational coordination and continuous improvement. You'll help strengthen Smart WFM's operating maturity by improving visibility, reducing risk and ensuring our leaders have confidence that commitments are being met. This role is ideal for someone who enjoys bringing structure to complexity, has excellent organisational and communication skills, is comfortable working with technology, and takes pride in helping a growing business operate professionally and efficiently. While this is a remote-first role, occasional travel to client sites or team events may be required.

Requirements

  • Experience in operations, governance, contract administration, project coordination or compliance roles.
  • Strong contract literacy with the ability to interpret commercial agreements and operational obligations.
  • Excellent organisational skills with exceptional attention to detail.
  • Experience coordinating multiple stakeholders and managing competing priorities.
  • Strong written and verbal communication skills.
  • Confidence working with Microsoft 365 and business systems such as SharePoint, HubSpot, PandaDoc, Kantata, BambooHR or similar platforms.
  • Experience improving business processes and operational workflows.

Nice To Haves

  • Exposure to governance, risk management or compliance activities is highly regarded.
  • Relevant qualifications in Business, Operations, Project Management, Law, Governance or a related discipline are desirable but not mandatory.

Responsibilities

  • Maintain Smart WFM's governance registers, approvals, risks, policies and operational actions while supporting the Executive Operating Rhythm through governance reporting, action tracking and decision management.
  • Maintain client agreements, Statements of Work, renewals and commercial documentation while tracking operational obligations, reporting commitments, renewal dates and contract compliance requirements.
  • Provide para-legal style operational support by coordinating contract reviews, document preparation, legal engagement, issue summaries and compliance activities while ensuring legal advice is obtained from qualified advisors where required.
  • Work closely with Practice Leaders, Project Managers and Customer Success to ensure contractual commitments are translated into practical delivery activities and remain visible throughout the client lifecycle.
  • Leverage Microsoft 365, SharePoint, HubSpot, PandaDoc, Kantata, BambooHR and Smart WFM's internal tools to improve governance visibility, automate workflows and maintain high-quality operational data.
  • Coordinate across leadership, operations, finance, delivery, customer success, insurers and external legal advisors to keep actions progressing, escalate risks early and ensure commitments remain on track.
  • Continuously improve governance processes, templates, registers and workflows while identifying opportunities to reduce operational risk, improve efficiency and strengthen Smart WFM's operating maturity.
