About The Position

This newly created Operations Coordinator role provides high visibility and direct support to senior leadership across collections, operations, and project activities. You will play a key role in ensuring projects, accounts, and internal workflows run smoothly while helping to strengthen client relationships and support the continued growth of the business.

Requirements

  • At least 2 years of experience supporting collections, operations, and/or project-based work.
  • Strong organizational skills with the ability to manage multiple priorities and tasks simultaneously.
  • Clear, professional written and verbal communication skills.
  • Demonstrated ability to act as a self-starter with a proactive mindset.
  • Comfort working in a fast-paced environment, with previous construction industry experience preferred.
  • Experience with accounts receivable, collections, and basic accounting or finance-related processes.
  • Proficiency in administrative support tasks, including scheduling, reporting, documentation management, and data entry.
  • Ability to collaborate effectively with sales, operations, and leadership teams.

Nice To Haves

  • Previous experience in the construction or roofing industry is preferred.
  • Background in project coordination, administrative support, or service coordination is beneficial.
  • Experience identifying upsell opportunities and supporting client relationship growth is an advantage.
  • Comfort working closely with senior leadership and supporting executive-level requests.

Responsibilities

  • Support collections activities by tracking receivables, monitoring outstanding balances, and assisting with payment follow-up.
  • Communicate with clients to follow up on payments, clarify account status, and help resolve billing-related questions.
  • Collaborate closely with sales and operations teams to ensure projects and accounts progress on schedule and in line with expectations.
  • Identify opportunities to expand client relationships by upselling services to current, former, and prospective customers.
  • Assist with operational coordination across ongoing roofing projects, including organizing tasks, aligning schedules, and supporting internal workflows.
  • Provide comprehensive administrative support to leadership, including scheduling meetings, preparing reports, and managing documentation.
  • Help coordinate project updates, timelines, and communications across internal stakeholders to keep everyone informed and aligned.
  • Identify and resolve day-to-day operational issues through effective problem-solving, follow-through, and clear communication.
  • Assist the President and Vice President with expediting paperwork for various jobs and customers as needed.
  • Catalog and maintain both new and existing warranties to ensure they are organized, easily accessible, and accurately documented.
  • Perform data entry related to accounts receivable, collections, and project documentation to maintain accurate records.
  • Support finance-related activities connected to accounts receivable and collections, working in partnership with relevant internal teams.
  • Provide general administrative and project support across service, operations, and sales functions as required.
