About The Position

AvePoint is seeking a highly organized, detail-oriented, and proactive individual to support daily business functions and help ensure the smooth operation of our Arlington office while enhancing the overall employee experience. As an Operations Coordinator in our Arlington office, you will play a key role in executing administrative and operational tasks that keep the office running efficiently. You will provide onsite support for both internal and external events, while partnering cross-functionally across departments. You’ll also collaborate with our global operations team to ensure alignment and consistency across regional offices. This is an onsite role, in-office Monday–Thursday, with flexibility to work remotely on Fridays.

Requirements

  • Bachelor’s degree and 1–3 years of relevant administrative or operations experience
  • A proactive, positive attitude with strong problem-solving and critical thinking skills
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Ability to prioritize effectively and act with urgency when needed
  • Strong interpersonal skills and a professional, service-oriented demeanor
  • Flexibility to work onsite and adapt in a dynamic, fast-paced environment

Responsibilities

  • Manage the Arlington office experience, including maintaining office supplies and snacks, reconciling expenses, and overseeing general office upkeep and maintenance
  • Partner closely with Arlington leadership to anticipate team and office needs based on schedules, events, and priorities, providing proactive operational support
  • Collaborate with the People Team and Talent Acquisition to support onsite interviews and new hire onboarding, including travel coordination and logistics
  • Coordinate internal meetings and provide onsite support to ensure a seamless meeting experience
  • Manage administrative workflows and communications via email, including preparing, sending, and tracking documents for signature
  • Help foster a strong office culture by planning employee engagement initiatives, philanthropy events, and wellness activities
  • Act as a liaison between AvePoint and vendors, suppliers, and building management
  • Support special projects and events, including tracking timelines, deliverables, and reporting
  • Partner with Legal/Finance to coordinate and manage lease-related activities
  • Serve as a point of contact for travel and expense support, including expense coding and booking travel
