About The Position

Under general supervision, the Operations Coordinator provides administrative and fiscal support to the Center on Disabilities. The incumbent coordinates daily operations, applying judgment, discretion, and initiative in performing professional level administrative work. Acts as first point of contact; provides customer service, answering calls, emails and other communications. Maintains accounts, database system, and financial records; generates monthly financial reports. Monitors budget projections, reconciles against actuals, and processes HR paperwork and documents. Serves as copy editor for the department communications/emails newsletters.

Requirements

  • Equivalent to graduation from a four-year college or university in a job-related field.
  • Additional experience in a job-related field may be substituted for up to two years of the required education, on a year-to-year basis.
  • Strong written and verbal skills
  • Previous experience with customer service
  • Drafting communications

Nice To Haves

  • Previous experience with large events is a plus.
  • Knowledge working with budgets
  • Experience with PeopleSoft is a plus.

Responsibilities

  • Maintains accounts, database system and financial records, and generates financial reports.
  • Creates online purchase orders, requisitions, procuring of office supplies, and serves as the liaison between the department and Purchasing, University Cash Services and any other similar departments.
  • Serves as the center's first point of contact, answering calls and emails.
  • Provide timely responses and represents the center to internal and external inquiries.
  • Fields complaints and provides a high level of customer service.
  • Supports conference-related planning and preparation.
  • Assists with processing registration, exhibitor payments, and sponsorships processing.
  • Serves as the lead customer service representative at the conference.
  • Supports registrations for the certificate program and other trainings and assists with certificate mailing.
  • Under the direction of the Program Manager, serves as Copy Editor for the annual Journal on Technology and Persons with Disabilities, working with the authors and ensuring all formatting is handled ahead of publication.
  • Coordinates the clerical and administrative support functions for the department.
  • Addresses a wide range of problems which requires interpreting policies and procedures and using ingenuity to problem-solve.
  • Creates office forms, maintains files and supports other staff.
  • Other duties as assigned.
