We are seeking an Operations Coordinator to provide customer service and sales support within the Operations Department. In this role, you will serve as a key point of contact between internal teams and external customers, ensuring clear communication and efficient coordination.

Requirements

  • Formal Academic Training in related field (CITT or CIFFA preferred) and two to four years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedures manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.

Responsibilities

  • Deliver exceptional customer service by acting as the primary point of contact for client inquiries, concerns, and complaints.
  • Ensure compliance with all regulations outlined in the KWE Air Cargo Security Plan for air and/or sea export shipments, including responsibilities as an Air Cargo Representative (ACR).
  • Support import and export operations across air, ocean, freight, and sales functions, ensuring accurate and timely processing of documentation to minimize errors.
  • Prepare and submit precise monthly reports as required by management and customers.
  • Provide customers with up-to-date shipment information and support the sales team in preparing and negotiating rates and quotations for air and/or sea services.
  • Maintain organized and accurate filing systems, input and update shipment details in internal systems, and ensure data accuracy for billing purposes.
  • Coordinate air and/or ocean shipments and distribute pre-alert notifications to customers and relevant internal departments as needed.
  • Assist management in maintaining and adhering to company ISO policies and standards.
  • Actively participate in meetings and contribute to the achievement of terminal and departmental goals.
  • Adhere to all company safety policies, procedures, and best practices.
  • Report any unsafe conditions or activities promptly to a supervisor or Human Resources.
  • Perform assigned tasks and projects with general guidance, working toward established objectives.
  • Provide backup support within the department during peak periods, employee absences, or vacations.
  • Contribute to team initiatives aimed at achieving departmental and organizational objectives.
  • Demonstrate leadership through positive example and by sharing knowledge and expertise with colleagues.
  • Carry out additional job-related duties as assigned by management.
