About The Position

Knowtex is seeking a sharp, resourceful Operations Coordinator to support the Head of Operations and ensure the smooth running of daily business operations. This is a generalist role designed for an individual who enjoys variety, takes initiative, and finds satisfaction in managing complexity. The role offers broad exposure to various aspects of a high-growth company, including finance support, tool administration, recruiting coordination, and social media management. It provides a direct line to senior leadership and a clear path for career growth, making it an ideal opportunity for someone early in their operations career.

Requirements

  • Located in the San Francisco Bay Area with availability for a hybrid schedule (2 days/week in-person)
  • 2–4 years of experience in an operations, administrative, or coordinator role, ideally at a startup or growing company
  • Experience building and managing OKR and KPI frameworks
  • Comfortable context-switching and juggling multiple workstreams without dropping the ball
  • Familiarity with tools like QuickBooks, an ATS (Greenhouse, Lever, Ashby, or similar), and social media scheduling platforms
  • Strong attention to detail, especially with financial documents and candidate data
  • Proactive and low-ego — you notice what needs to be done and you do it
  • Clear, concise written and verbal communication
  • Discretion when handling sensitive information across finance, HR, and operations

Nice To Haves

  • Experience supporting a finance team or working alongside fractional executives
  • Background in HR or people operations
  • Familiarity with project management tools like ClickUp, Notion, or Jira

Responsibilities

  • Own administration and setup of internal tools, software, and platforms; serve as the go-to resource for tool-related questions and troubleshooting
  • Document and maintain operational processes and SOPs, keeping the team aligned as we scale
  • Support special projects and strategic initiatives led by the Head of Operations
  • Assist with invoicing, billing follow-up, and basic reconciliation
  • Track and maintain accurate AR/AP records
  • Keep financial documentation organized and audit-ready
  • Serve as the day-to-day liaison with our CPA and CFO consultants, ensuring they have what they need to move quickly
  • Manage day-to-day activity in our ATS — posting roles, organizing pipelines, scheduling interviews, and participating in the process
  • Conduct initial resume reviews and surface strong candidates to hiring managers
  • Support smooth onboarding and offboarding logistics for new and departing team members
  • Coordinate domestic and international travel, including flights, hotels, and full itineraries
  • Manage scheduling and calendar coordination across the team
  • Assist with social media posting and scheduling across company channels, keeping content consistent, timely, and on-brand

Benefits

  • A front-row seat to how a high-growth company operates across every function
  • Direct access to and mentorship from senior leadership
  • A clear growth path — this role has natural specialization opportunities in people ops, finance ops, or broader operations leadership as the company scales
  • Meaningful equity compensation
  • Unlimited PTO
  • Premium health, dental, and vision coverage
  • 401(k) plan
  • Hybrid schedule with 2 days/week in-person in San Francisco
