About The Position

As an Operations Associate, you will play a critical role in keeping our tax and financial services firm running smoothly by supporting daily administrative and operational functions. You will help maintain efficient workflows, deliver excellent client service, and ensure seamless coordination between our professional staff and leadership team. In this role, you will manage multiple priorities in a fast-paced, deadline-driven environment, using your strong organizational skills and attention to detail to keep processes accurate and on track. Requirements

  • High school diploma or equivalent
  • 1–3 years of experience in an administrative, operational, or client service role, ideally within a professional services, finance, or tax environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong typing skills
  • Comfortable using client management (CRM) or workflow tracking systems.
  • Exceptional accuracy when managing data and client information.
  • Effectively manage multiple priorities, projects, and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills and maintain a professional, client-service-oriented approach.
  • Anticipate needs, resolve administrative challenges efficiently, and work independently with minimal supervision.
  • U.S. citizen, U.S. permanent resident or possess other unrestricted U.S. work authorization and will not require sponsorship for U.S. work authorization now or anytime in the future.

Nice To Haves

  • Associate’s or bachelor’s degree in business administration, Finance, or a related field is preferred.
  • Experience with CCH Axcess or similar tax software is a plus.
  • Prior experience working in a CPA or public accounting firm.
  • Familiarity with CCH Axcess or a comparable tax software suite.
  • Experience with implementing new technologies, AI-driven workflows, or process improvements.
  • Available and flexible to work additional hours during peak tax season (January through April).

Responsibilities

  • Provide comprehensive administrative support, including answering phones, greeting clients, managing mail and shipments, scheduling meetings, and keeping office supplies organized and fully stocked.
  • Coordinate the intake, tracking, and delivery of client work using firm software, including tax returns and financial reports.
  • Manage electronic and paper tax return delivery, oversee client signatures through tax software, handle e-filing and status tracking, and follow up with clients as needed.
  • Monitor workflow progress and communicate with team members to ensure deadlines are met.
  • Serve as a primary point of contact for clients on administrative matters, document submissions, and appointment scheduling, maintaining a high level of professionalism and confidentiality.
  • Enter and manage client data while maintaining accurate electronic and physical filing systems, ensuring documentation meets firm policies and industry regulations.
  • Act as a liaison with IT for basic troubleshooting of office equipment and software and assist with onboarding and setup for new employees.
  • Support the finance team with billing tasks, including expense tracking, invoice processing, and report generation as needed.
