About The Position

We are seeking a highly organized and detail-oriented Part-Time Operations Assistant to support our operations/ accounting departments. The ideal candidate will be a fast learner with strong administrative, customer service, and accounting skills. Experience with QuickBooks is required.

Requirements

  • Previous experience in operations, accounting, administration, or customer service
  • Proficiency with QuickBooks required
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Ability to prioritize tasks and meet deadlines
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Self-motivated with the ability to work independently
  • Fast learner with a positive, team-oriented attitude

Responsibilities

  • Process customer orders accurately and efficiently
  • Generate customer invoices and assist with billing activities
  • Manage Accounts Receivable (AR) and follow up on outstanding balances
  • Assist with collections and customer account inquiries
  • Support Accounts Payable (AP) functions
  • Prepare and review aging reports
  • Monitor and update open order reports
  • Assist with month-end reconciliation activities
  • Maintain accurate records and filing systems
  • Provide exceptional customer service via phone and email
  • Support special projects as assigned
  • Assist with general administrative and operational tasks
