About The Position

Performs responsible, skilled, and technical work in support of the Operations Department. This role involves data management, regulatory filings, inventory, fleet management, maintenance scheduling, purchasing, customer relations, and other administrative assistance. Future tasks will include CMMS deployment, planning, and scheduling. The position also requires supervising and evaluating subordinate staff members, prioritizing work tasks, and delegating them to ensure timely completion.

Requirements

  • Minimum two-year degree in Business Administration or related field.
  • Minimum two years of experience in administrative support role for a public utility.
  • Ability to supervise/prioritize work tasks, delegate, and supervise subordinate employees.
  • Leadership skills in group settings, personnel or program management experience.
  • Possession of an appropriate driver's license valid in the State of South Carolina.
  • Ability to read, write, and complete semi-complex mathematical equations.
  • Thorough understanding, knowledge, and proficiency at or above the level of high school level algebra.
  • Ability to communicate in a clear and precise manner, both verbal and written.
  • Excellent organizational skills and multi-tasking abilities.
  • Self-motivated and able to work independently or as part of a team.
  • Six years’ experience in office administration, procurement, and inventory functions.
  • Proficient in the use of Adobe and Microsoft Office software applications, including PowerPoint, Word, and Excel.
  • Knowledge and understanding of appropriate safety procedures and ability to respond in emergency situations.
  • Knowledge of the safe use and operation and preventive maintenance of common hand and power tools.
  • Knowledge of the safe use, operation, and preventive maintenance of the equipment to which assigned.
  • Ability to work in a warehouse environment, including climbing ladders.
  • Ability to operate a forklift.
  • Ability to perform physical rotation of pump/motor shafts while in storage.

Nice To Haves

  • Four-year college degree in Business Administration or another related field.
  • Prior work experience in the utility field.
  • Licensed as a D level (or higher) Water Distribution Operator by the State of South Carolina.
  • Licensed as a D level (or higher) Collection System Operator by the Water Environment Association of South Carolina.

Responsibilities

  • Performs data management and filing support for operations, maintenance, and compliance divisions.
  • Assists in the preparation of regulatory filings, including populating spreadsheets, data collection, and mailings.
  • Performs inventory, procurement, and audit functions for all operational supplies/equipment.
  • Conducts inventory counts, dispenses supplies, codes receipts/invoices, obtains quotes, and creates purchase orders for needed supplies, including uniforms.
  • Performs routine assessment of inventory to ensure spare pumps are rotated in and out of inventory/service as required.
  • Oversees all fleet and major equipment activities to ensure maintenance schedules are being met, monitoring mileage, general vehicle use/wear, and assisting with the purchase of new vehicles/equipment.
  • Assists in budgets and pricing for annual service contracts.
  • Schedules all required safety training and annual testing.
  • Conducts fire safety/equipment inspections, respirator fit testing, and environmental licensure renewals.
  • Develops and updates maintenance schedules for all fixed assets, including planning/scheduling activities upon CMMS implementation.
  • Assists in emergency response planning and preparedness.
  • Updates Operation and Maintenance manual on a quarterly basis.
  • Performs additional administrative or supervisory duties as assigned.
