Sharing Excess is a Philadelphia-based nonprofit focused on addressing food insecurity by rescuing surplus food and distributing it to those in need. While over 47 million people in the U.S. face food insecurity, nearly 40% of the nation's food supply goes to waste. By partnering with grocery stores, restaurants, wholesalers, and farmers, Sharing Excess has delivered nearly 100 million meals to a network of nonprofits, food banks, and community organizations. The Operations Administrative Associate provides part-time, in-person administrative support to the operations team. This role focuses on data entry, recordkeeping, documentation, and internal coordination to ensure smooth day-to-day operations. Working closely with the Head of Food Rescue Operations and Operations Team, this position helps maintain accurate records, supports load tracking, and assists with general administrative needs. This is an ideal role for someone who is highly organized, detail-oriented, and comfortable supporting a hands-on operations environment. The ideal candidate will be detail-oriented, organized, proactive, and comfortable in a fast-paced, mission-driven environment. Spanish language proficiency is highly valued.

Requirements

  • 1–2 years of experience in an administrative or operations support role.
  • Strong attention to detail and organizational skills.
  • Proficiency in Google Sheets and/or Microsoft Excel.
  • Comfortable with data entry, recordkeeping, and routine administrative tasks.
  • Clear and professional written and verbal communication skills.
  • English and Spanish language proficiency.
  • Reliable, punctual, and comfortable working independently.
  • Proactive and detail-oriented with a strong sense of accountability.
  • Interest in food justice and Sharing Excess’s mission.

Nice To Haves

  • Bachelor’s degree in Business Administration, Supply Chain, Logistics, or a related field, or equivalent experience preferred.

Responsibilities

  • Enter and maintain accurate data related to incoming and outgoing loads.
  • Update spreadsheets and app-based records consistently and accurately.
  • Support operations staff with documentation and administrative tasks.
  • Help reconcile internal records and flag discrepancies for follow-up.
  • Serve as a point of contact for basic internal communication related to operations tracking.
  • Assist with general administrative needs as they arise.
