About The Position

Provides Administrative & Operational support for Operations for the Levy team at the National Geographic Museum. This role involves high-level administrative and operational support to the Director of Operations & Area Human Resources, handling communications, confidential information, and assisting with HR processes. The position also requires coordination with venue partners, managing office equipment, taking meeting notes, and potentially supporting other operational leaders. Safety and a clean work environment are emphasized, along with performing other assigned duties.

Responsibilities

  • Provide high-level administrative & operational support to the Director of Operations & Area Human Resources.
  • Answer calls, emails, and other communication in a friendly, professional, and responsive manner.
  • Use high-level discretion and professionalism when handling confidential or highly sensitive information related to the company, vendors, customers, and/or fellow team members.
  • Demonstrate reliable attendance and timeliness for scheduled shifts.
  • Create new hire files and assist with audit processes as needed.
  • Field first level HR inquiries for administrative & system assistance; escalate as appropriate.
  • Coordinate with appropriate venue partner department for new hire credentials, changes in staffing, and other practical & security related requirements.
  • Engage service/maintenance as needed for office or operational hardware or software as needed.
  • Take notes, assist with delegation/follow-up from leadership & other operations meetings.
  • May provide basic administrative support to other operational leaders.
  • Represent the DO & HR in meetings and events as needed.
  • Attend company, vendor, and partner meetings as needed.
  • Perform work safely, and foster a safe, clean work environment.
  • Perform other duties as assigned.
