We are seeking a highly organized Oncology Scheduling Coordinator to support the coordination of care for oncology patients. In this role, you will manage the scheduling of diagnostic tests, follow-up visits, and treatment-related appointments, ensuring each patient’s care pathway is complete, timely, and free of delays. The Oncology Scheduling Coordinator serves as a central point of communication between patients, providers, and ancillary services, helping to streamline the patient journey from diagnosis through treatment planning. This role is critical to maintaining efficient workflows, reducing delays in care, and delivering high-quality patient experience in a fast-paced environment.

Requirements

  • Minimum 3 years of scheduling, care coordination, or front office experience
  • Experience with Electronic Medical Records (EMR) systems preferred
  • Excellent communication and interpersonal skills.
  • Proven ability to build relationships and clearly convey information to patients, families, and healthcare professionals.
  • Ability to be proactive by anticipating challenges and finding a solution to ensure smooth operations.
  • Proven organizational skills and ability to prioritize effectively.
  • Ability to multi-task, effectively problem-solve and work in a fast-paced environment.
  • Demonstrated ability to work independently and as part of a team, taking initiative while collaborating effectively with team members.
  • Excellent customer service skills.
  • Proficient computer software and database skills.
  • Attention to detail, willingness to learn, and bring forth ideas to enhance positive patient care.
  • Proficient knowledge of medical terminology.
  • Comfortable asking probing questions to patients.
  • Must demonstrate a caring, compassionate, and patient attitude.
  • Maintain & adhere to HIPAA compliance/ regulations.
  • Ability to type a minimum of 40 words per minute.

Responsibilities

  • Coordinate and schedule all diagnostic tests, follow-up visits, and treatment-related appointments for oncology patients
  • Ensure each patient’s care pathway is fully scheduled, logically sequenced, and free of gaps or delays
  • Communicate appointment details, preparation instructions, and next steps clearly to patients
  • Identify, escalate, and resolve scheduling barriers, including authorization issues and missing orders
  • Coordinate expedited scheduling for urgent or high-priority patients
  • Maintain accurate and up-to-date documentation within EMR and scheduling systems
  • Monitor patient pipelines and proactively follow up on incomplete or pending scheduling steps
  • Support standardized oncology care pathways to ensure consistency and efficiency
  • Utilize patient engagement tools to send reminders, intake forms, and preparation instructions
  • Proactively manage cancellations and no-show risk through confirmation calls and rescheduling efforts
  • Backfill open slots and optimize scheduling to minimize delays in care
