On-Demand Coordinator
About The Position
The On-Demand Coordinator is a full-time, hourly position with overtime opportunities, responsible for supporting sales activity, managing daily dispatch, ensuring safety and compliance, managing contracts, and potentially loading, delivering, and installing equipment. This role requires a strong focus on customer satisfaction, team productivity, and resource allocation, with the flexibility to travel regionally and work in the field during peak seasons. The position involves a set schedule but requires on-call availability, including nights, weekends, and holidays, with an expected increase in workload during peak seasons and emergencies.
Requirements
- 1+ years of experience in operations, dispatch, or a leadership role in HVAC, mechanical, or service-based industries (or 1+ year experience as Field HVAC technician)
- Proven ability to manage dispatch, scheduling, and resource allocation to meet customer demands and team productivity goals.
- Familiarity with HVAC or mechanical equipment is a plus.
- Strong communication, problem-solving, and customer relationship skills.
- Highly detail-oriented and expert multi-tasker.
- Proficiency in Microsoft Office and operational software.
- Understanding of safety regulations and compliance.
- Valid driver’s license with a clean 5-year driving history.
- The ability to obtain and maintain a DOT medical card.
- Strong desire to deepen your expertise in contract management and branch management, HVAC service, and leadership responsibilities.

- Familiarity with HVAC or mechanical equipment is a plus.
Responsibilities
- Create quotes and proposals when needed.
- Communicate ETAs with salespeople to keep customer scheduling updated.
- Organize meetings between sales and operations for complex projects.
- Take ownership of scheduling and dispatching routes.
- Ensure customer requests are handled promptly and efficiently while maximizing team productivity and resource allocation.
- Create and maintain a safe working environment by enforcing safety protocols and leading weekly safety training.
- Work within company systems to manage and ensure the accuracy of customer contracts.
- Load, Deliver & Install Equipment to a variety of customer sites for emergencies or scheduled events, sometimes requiring long drives or overnight stays.
