About The Position

The Department of Developmental Services (DDS), Central/West Region, is seeking a highly organized, dependable, and customer-focused Office Support Specialist I to join our Intake and Eligibility Department. This position will provide essential administrative and front-end support to ensure the timely and efficient processing of intake applications and assist individuals and families seeking information about DDS eligibility services. The Office Support Specialist will work closely with Eligibility Coordinators and other members of the Intake and Eligibility team to support day-to-day office operations.

Requirements

  • At least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
  • An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
  • An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
  • Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
  • Educational substitutions will only be permitted for a maximum of two years of the required experience.
  • Detail-oriented, organized, responsive, and able to manage multiple administrative tasks while maintaining confidentiality and professionalism.
  • Strong communication and interpersonal skills, attention to detail, and the ability to work collaboratively in a busy office environment are essential.

Responsibilities

  • Receiving and processing incoming mail and documents from front desk staff.
  • Scanning and electronically filing materials.
  • Entering information into appropriate systems.
  • Assisting with administrative tasks associated with intake applications and the eligibility process.
  • Monitoring the designated intake and eligibility hotline and responding to individuals and families who call with questions or requests for updates regarding the status of their application.
  • Provide courteous and professional customer service, gather necessary information, and ensure inquiries are appropriately directed or followed up on.
  • Providing administrative support to the Office Support Specialist II.
  • Assisting with document management and data entry.
  • Maintaining organized records.
  • Performing other related duties and special assignments as needed to support the operations of the Intake and Eligibility Department.
