About The Position

Provides customer service and clerical support for the Register of Wills department. This position involves extensive probate knowledge, including reviewing probate petitions, conducting TEAMS meetings, and managing the TEAMS calendar. The role requires knowledge of required forms and timelines, the ability to handle complex probate situations independently, and vast knowledge of genealogy records for research requests. The position also handles inquiries from colleagues and the public, processes requests for certified and non-certified copies, manages the ROW email, and processes genealogy inquiries and marriage license applications. It includes providing backup for other processing tasks during vacations and requires strong independent work, time management, good judgment, and multitasking abilities.

Requirements

  • High school diploma or G.E.D. certification.
  • Four (4) years of related experience in an office setting.
  • Knowledge of general office practices.
  • Ability to type accurately and quickly.
  • Ability to operate office equipment including fax machines, copiers, adding machines, and printers.
  • Demonstrated proficiency in the use of Microsoft Word and Excel.
  • Skill in organization and time management.
  • Ability to work most of the time independently.
  • Ability to exercise good judgment.
  • Ability to provide a high level of customer service, both on the phone and in person.
  • Ability to handle stress.
  • Physical presence in the office is required.

Responsibilities

  • Probate estates, including reviewing probate petitions and conducting TEAMS meetings.
  • Daily review of the TEAMS calendar and confirmation of received paperwork.
  • Relaying information about required forms and timelines.
  • Handling complex situations that may arise during probate.
  • Researching and fulfilling requests for genealogy records via mail and email.
  • Completing inquiries for colleagues and the public, relaying correct information.
  • Processing requests for certified and non-certified copies of documents.
  • Answering questions efficiently via the ROW email.
  • Entering, scanning, and filing daily reports submitted through mail and over the counter.
  • Checking data and completing monthly reports independently.
  • Processing genealogy inquiries via email and marriage license applications.
  • Providing backup for marriage, orphans' court, and inheritance tax processing during vacations.
  • Assisting the public, attorneys, and paralegals on the phone and at the counter.
  • Working independently, managing time, exercising good judgment, and multitasking.
