About The Position

The Oregon Department of Transportation (ODOT) Delivery and Operations Division – Region 4, District 10 in Prineville is seeking an Office Specialist. This role provides essential administrative and clerical support to the transportation maintenance manager and area crews, playing a crucial part in ensuring compliance with district and agency values, policies, procedures, and laws. Requirements

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents.
  • An associate degree in any field.
  • An equivalent combination of education and experience.

Responsibilities

  • Act as the public contact for the district and region office in person, by phone and by computer.
  • Order supplies, perform general filing and typing, create forms, documents and letters, schedule meetings, make travel arrangements and perform other office support tasks.
  • Maintain confidentiality of general office proceedings and research policies, union contracts, tort claims, public records requests, and cost and expenditure reports.
  • Operate office machines such as computers, copiers, postage meters and scanners.
  • Prepare vendor invoices for payment including appropriate coding and data entry in computer systems.
  • Ensure that all employee payroll entries are correct and timecards are coded correctly.
  • Attend meetings, create meeting agendas, take minutes and distribute materials.
  • Monitor area budgets weekly for overages and report balances regularly to the maintenance manager.
