About The Position

The Department of Health and Human Services is seeking a motivated individual to join our Children and Family Services (CFS) Central Registry and fill the role of an Office Specialist. The successful candidate will be a self-starter, detail oriented, have a high personal standard of integrity, and share in our mission of Helping People Live Better Lives. As the Office Specialist on the CFS Central Registry Team, will complete Central Registry background checks, answer phone calls and emails related to the Central Registry portal and processing, and perform tasks that support the program and administration. Other tasks may include completing name changes in our database based on court orders, print and mail Central Registry correspondence, pull information from our database for reports or file requests.

Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
  • Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
  • Knowledge of the practices, procedures, and equipment used in secretarial/clerical support operations
  • Knowledge of record keeping practices and database management
  • Knowledge of administrative reporting formats
  • Knowledge of customer service processes and principles
  • Knowledge of the program-administrative policies and guidelines
  • Knowledge of specialized processes and terminology associated with assigned work
  • Knowledge of grammar, punctuation, spelling, and composition for general business and specialized purposes
  • Knowledge of word and data processing software
  • Ability to communicate in person and by telephone, email, and correspondence to exchange information and ideas
  • Ability to interact effectively with persons of diverse backgrounds
  • Ability to summarize technical data and results of research and tracking activities into reports
  • Ability to prepare, proofread, and correct errors in information, documents, reports
  • Ability to understand and apply instructions and program-administrative policies and directives
  • Ability to implement decisions made and take actions selected by others to achieve work objectives, performance goals, and priorities
  • Ability to learn the organizational structure, mission, and activities of the employing agency
  • Ability to learn agency policies and procedures pertinent to the work assigned
