About The Position

Under limited supervision, performs work involving the application of technical expertise and independent judgment to the preparation of specialized departmental documents, the use of computerized information systems, public service contact, and administrative support. This role is responsible for collecting, evaluating, screening, relaying, and responding to a broad range of requests for information from the public and other staff. It involves explaining requirements, policies, and procedures, writing and revising rules, procedures, and manuals, and analyzing and resolving difficult problems and concerns. The position also processes and verifies complex information and calculations, assists with financial reports and budgets, monitors departmental budget transactions, and processes fiscally sensitive transactions. Additionally, it involves inputting, retrieving, and modifying data in computerized systems, assisting users with system problems, generating reports, and training users on computerized systems. The role requires writing, preparing, and proofreading original correspondence, specialized reports, and other departmental documents, and working in multiple computer systems/programs while accurately transferring data.

Requirements

  • High School diploma or equivalent
  • Three years of office clerical experience
  • An approved combination of education and experience
  • Some positions require specific experience and/or education related to the position
  • Skilled in fostering a positive workplace culture and building inclusive workplace teams
  • Demonstrated ability to quickly learn new technologies and systems and provide instruction on complex processes
  • Capable of assisting managers with decisions and activities
  • Effective use of all Windows-based applications such as Word, Excel and Power Point
  • Ability to appropriately prioritize and carry-out work
  • Bilingual Spanish/Driving Requirements

Nice To Haves

  • 2 years post-secondary education preferred
  • Skilled in overseeing the efforts of individuals within the department
  • Ability to effectively involve department staff in the application of quality measurement and improvement tools

Responsibilities

  • Collects, evaluates, screens, relays, and responds to a broad range of requests for information from the public and other staff representing different levels of the organization; explains a variety of requirements, policies, and procedures regarding services; writes and revises rules, procedures, and manuals related to departmental policies; analyzes, resolves, and notifies people of action taken regarding difficult problems and concerns
  • Processes and verifies complex information and calculations on forms, documents, and requisitions; assists with preparation of financial reports and budgets; monitors and maintains day-to-day departmental budget transactions; processes complex and fiscally sensitive transactions involving department- and county-wide operations
  • Inputs, retrieves, and modifies information and data stored in computerized systems; assists other users with problems associated with computerized systems and programs; generates reports using computer software; trains and/or coordinates training of users on the use of computerized systems and programs
  • Writes, prepares, and proofreads original correspondence, specialized reports, lists, tables, and other specialized departmental documents
  • Works in multiple computer systems/programs and transfers data accurately
