About The Position

The Division of Adult Probation & Parole is looking for an Office Specialist II to serve as clerical support in our Region IV Provo office. This position enters data in the Department offender database (O-track), and uses other agency databases to document offender progress, open cases, assists probation and parole offenders with reporting information and questions and coordinates information with the courts and jails. Data entry is extensive and accuracy is essential. This position may also include reception, mail handling, call routing, and general dealings with the public and justice involved persons.

Requirements

  • Has at least 1 year experience working in an professional office environment.
  • Has extensive working knowledge of MS Word/Excel and Google suite.
  • Is detailed oriented.
  • Works independently with little or no supervision.
  • Has experience scanning and uploading documents into a database.

Nice To Haves

  • Working experience in a court, law enforcement, or corrections environment.

Responsibilities

  • Open and close offender cases and track cases through the sentencing /referral process.
  • Check-in offenders.
  • Enter data in the Department offender database (O-track).
  • Use other agency databases to document offender progress.
  • Assist probation and parole offenders with reporting information and questions.
  • Coordinate information with the courts and jails.
  • Perform a variety of clerical support services such as answering frequent phone calls.
  • Face to face interaction with the public, probationers and parolees.
  • Provide authorized agencies with information.
  • Run a variety of reports.
  • Run rap sheets.
  • Coordinate information and assist agents and supervisors in clerical aspects of their caseload supervision.
  • Prepare probation and parole documents.
  • Generate probation and parole agreements.
  • Verify conditions of probation and parole.
  • Open, maintain and update investigation files and other records.
  • Track court proceedings.
  • Send reports to courts/attorneys.
  • Data entry.
  • Reception, mail handling, call routing, and general dealings with the public and justice involved persons.
