About The Position

The Office Manager is responsible for supporting the day-to-day operations of the office and helping ensure that administrative, facilities, staffing, and workplace needs are handled efficiently and professionally. This role helps maintain an organized, welcoming, and productive office environment by coordinating office services, supporting staff and leadership, assisting with events and office initiatives, communicating with vendors and building management, and addressing operational needs as they arise. The Office Manager serves as a reliable point of contact for employees, visitors, clients, and vendors while promoting teamwork, professionalism, confidentiality, and a positive workplace culture.

Requirements

  • Bachelor’s degree required.
  • Minimum of five years of relevant office administration, facilities coordination, or professional services management experience required, preferably in a law firm or similar professional environment.
  • Strong oral and written communication skills, with the ability to interact professionally and diplomatically with employees, leadership, clients, visitors, and vendors.
  • Demonstrated ability to organize work, solve problems, manage competing priorities, and exercise sound judgment in a fast-paced office environment.
  • Working knowledge of office administration, facilities coordination, vendor management, basic budgeting, and employee-related administrative processes.
  • Ability to build effective working relationships at all levels, maintain confidentiality, handle sensitive matters with discretion, and promote a positive and service-oriented workplace culture.

Nice To Haves

  • Experience with budgeting, invoice processing, vendor coordination, employee support processes, and office operations is preferred.

Responsibilities

  • Partner with office leadership and administrative teams to support daily operations and address office needs.
  • Coordinate with Facilities, Administration, HR, Finance, IT, and other departments to support consistent firm practices and local office requirements.
  • Process office invoices, assist with budget-related activities, and support vendor and service provider relationships.
  • Support emergency preparedness, business continuity planning, security procedures, access management, and related office safety initiatives.
  • Assist with onboarding, offboarding, compliance postings, and other employee-related administrative processes in coordination with HR.
  • Serve as a liaison with building management and local vendors for office supplies, maintenance, cleaning, beverage services, and other workplace needs.
  • Oversee office space, identify facilities issues, coordinate repairs, and help maintain a safe, clean, and professional work environment.
  • Plan and support office events, community affairs activities, client/business development events, staff appreciation efforts, and other office initiatives.
  • Oversee office parking, business cards, building directory, conference rooms set-ups, catering orders, recycling, and office floor plans.
  • Perform other related duties as assigned by office leadership.
