About The Position

The Office Secretary II provides clerical and administrative support to the Adult Services Division, with primary assignment to the APS Program. The position performs a variety of administrative duties to support program operations, including maintaining records, processing correspondence, managing mail, preparing documents, data entry, filing, scheduling, and responding to inquiries from internal and external stakeholders. The position assists management and program staff with administrative tasks, tracking activities, and document management to support efficient office operations and compliance with program requirements. The Office Secretary serves as a resource to staff by helping coordinate administrative processes, maintaining organized records, and supporting routine operational needs within the APS Unit and Adult Services Division. This position supports the agency's mission by providing efficient administrative support services that contribute to effective program operations and the delivery of services to vulnerable adults.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Two years performing secretarial or clerical work involving typing duties.

Nice To Haves

  • One year of experience using Microsoft Office and Google Workspace.
  • One year of experience providing administrative support.
  • One year of experience maintaining program data and tracking systems including spreadsheets and reports.

Responsibilities

  • Coordinate purchasing requests and inventory management in accordance with agency procedures.
  • Maintain accurate and up-to-date records, databases, logs, and tracking systems.
  • Enters, updates, and verifies information in designated systems in a timely manner to ensure accuracy, completeness, and reliability of administrative records.
  • Maintain effective working relationships with program staff, management, agency personnel, and external stakeholders to support efficient communication and coordination of administrative activities.
