About The Position

The Office Rep is responsible for creating a positive first impression, exhibiting excellent customer service and creating a positive experience for patients and families. Greets patients upon arrival and is a friendly point person. This role is pivotal to ensuring patient flows and a team approach to the patients care. Understands flows of appointments and, as needed, notifies staff of arrival, concerns or questions. Monitor flows in the waiting room and investigate to ensure patient care happens timely. Keep patients and families informed of delays. Ability to provide wayfinding in Radiation Oncology, Medical Plaza as well as on campus in addition to being a liaison for other departments. As part of this, ability to review EPIC to ensure the patients are in the appropriate place. Utilize resources to intervene as needed. Follow check-in procedures and performs duties related to iPad use for forms, scanning record, scheduling Multi-D in to MOSAIQ and faxing GVA reports. Schedules Follow Ups and understands scheduling parameters to optimize Physician schedules. Point person for telephone communication between staff and patients / family in the waiting room.

Requirements

  • High school graduate or equivalent.
  • Excellent customer relations and phone skills.
  • Ability to multitask.
  • Ability to take on responsibilities.
  • Proven ability to problem-solve.
  • Proven ability to be a team member.

Nice To Haves

  • One year of general office or medical practice experience.
  • Familiarity with CPT and ICD-9 coding.
  • Comfortable providing basic visit, cost, and co-payment information.
  • Display initiative.
