About The Position

As the Office Operations Coordinator, you will play a key role in creating a seamless, welcoming, and highly organized workplace environment for employees, leadership, visitors, and vendors. This role combines front desk hospitality, office operations, facilities coordination, and administrative support to ensure the headquarters operates smoothly and delivers a best-in-class employee and guest experience.

Requirements

  • 3+ years of experience in office operations, workplace coordination, facilities support, hospitality, executive support, or a similar operational role
  • Exceptional organizational and multitasking skills with the ability to manage competing priorities in a fast-paced environment
  • Strong customer service mindset with excellent interpersonal and communication skills
  • Professional, polished presence with the ability to interact confidently with employees, leadership, vendors, and visitors
  • High attention to detail and strong sense of ownership and accountability
  • Ability to work independently while proactively identifying and solving operational needs
  • Comfort supporting executive and leadership teams in a dynamic, high-touch environment
  • Strong proficiency in Google Workspace (Gmail, Docs, Sheets, Calendar) and comfort learning new systems and tools
  • Ability to lift and transport office supplies or packages up to 25 pounds as needed
  • Valid driver’s license and ability to travel locally between company locations or vendor sites as needed
  • Must be able to work fully onsite during standard business hours

  • Experience coordinating vendors, office logistics, workplace operations, or facilities-related support preferred

Responsibilities

  • Serve as the primary onsite point of contact for employees, visitors, vendors, and guests
  • Maintain a polished, organized, and guest-ready front desk and office environment
  • Coordinate day-to-day office operations, supplies, catering, and workplace organization
  • Support meetings, company events, executive visits, and hospitality needs
  • Assist with onboarding and offboarding logistics, including workspace setup and employee readiness
  • Coordinate maintenance requests, vendor communication, and facility-related support
  • Provide light workplace technology and conference room support
  • Partner closely with leadership to support operational and workplace experience initiatives
  • Travel locally between company locations or vendors as needed to support operational needs
