Coaction is seeking a talent individual to join our team as an Office Operations Associate. This role will play a crucial role in our day-to-day office operations. This individual will provide administrative support across multiple domains, including mail management, conference room set-up, and event coordination. We are looking for someone who values customer service and is able to operate efficiently in a fast-paced environment.

Requirements

  • Required in office 5 days a week during core business hours
  • The ability to learn quickly and adapt to a fast-paced environment
  • Excellent verbal & written communication skills
  • Excellent interpersonal and customer service skills
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
  • Knowledge of mail handling/scanning/receptionist procedures and protocols.
  • High school diploma or equivalent required

Nice To Haves

  • Associates degree in office administration or related field preferred

Responsibilities

  • Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location. Role will sit at reception desk in locations where applicable.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Performs administrative and clerical support task, including basic filing, and recordkeeping.
  • Assist with facilities operational tasks including supply management and kitchen support as needed.
  • Assist with the preparations and set-up of office meetings and events as needed.
  • Receives, processes, sorts, and delivers incoming mail daily.
  • Book breakfasts and lunches as required for client visits and internal company events.
  • Prepare meeting rooms and manage/coordinate calendar meeting rooms for both external and internal meetings.
  • Support interview process, including greeting candidates, setting up interview room, and providing additional support as needed.
  • Provides administrative support as needed.
  • Performs other duties as assigned.
