About The Position

Coastal Health is seeking an experienced and motivated Office Manager to oversee the daily operations of our Primary Care practice. The Office Manager is responsible for ensuring efficient clinic operations, supporting providers and staff, maintaining exceptional patient service standards, and driving overall practice performance. This leadership role requires strong organizational, communication, and problem-solving skills, along with the ability to effectively manage staff and foster a positive team environment.

Requirements

  • High school diploma or equivalent required
  • Minimum of 2 years of healthcare management or medical office leadership experience preferred
  • Previous experience in a Primary Care setting strongly preferred
  • Knowledge of medical office operations, scheduling, insurance verification, referrals, and patient registration processes
  • Strong leadership and team-building skills
  • Excellent communication and interpersonal abilities
  • Proficiency with electronic medical records (EMR) systems and Microsoft Office applications
  • Ability to multitask and manage priorities in a fast-paced environment
  • Minimum three years of healthcare experience required, including one year of management or specific leadership experience in health care.
  • Knowledge of medical practices, terminology, and reimbursement policies.
  • Skill in planning, organizing, delegating, and supervising.
  • Skill in evaluating the effectiveness of existing methods and procedures.
  • Skill in problem solving.
  • Skill in verbal and written communication.
  • Ability to read, interpret, and apply policies and procedures.

Responsibilities

  • Manage the day-to-day operations of the medical office
  • Supervise and support clinical and administrative staff
  • Coordinate staffing schedules and ensure appropriate coverage
  • Monitor workflow efficiency and implement process improvements
  • Maintain compliance with company policies, HIPAA regulations, and healthcare standards
  • Assist with employee onboarding, training, coaching, and performance management
  • Address patient concerns and ensure a positive patient experience
  • Monitor office productivity, patient flow, and operational metrics
  • Collaborate with providers and leadership to achieve organizational goals
  • Oversee inventory management and ordering of office and medical supplies
  • Participate in staff meetings and communicate organizational updates effectively
  • Support recruitment and retention efforts within the practice
