The Role Havenly is seeking an exceptional Office Manager to oversee and optimize our Denver headquarters operations. This is a highly visible, high-impact role requiring strong organizational skills, operational excellence, and the ability to support a fast-paced, high-growth environment. The Office Manager will serve as a vital force behind the success of the workplace, playing a central role in shaping the day-to-day experience of the entire team. As the heartbeat of the office, this individual will ensure operations, team engagement, and daily logistics run seamlessly; creating an environment where employees can do their best work even amid constant change and evolving priorities. This role is based part-time in our Denver headquarters and requires in-person presence during working hours.

Requirements

  • 4+ years of experience in office management, workplace operations, or administrative roles.
  • Strong organizational and multitasking skills with the ability to operate independently.
  • Excellent written and verbal communication skills.
  • High level of professionalism, reliability, and problem-solving ability.
  • Technologically fluent, with demonstrated curiosity and comfort adopting AI tools and emerging technologies.

Responsibilities

  • Oversee and manage the day-to-day operations of the Denver office, ensuring a smooth, efficient, and well-organized workplace.
  • Maintain office systems, supplies, and vendor relationships to support team productivity and comfort.
  • Serve as the primary point of contact for building management, handling facilities needs, maintenance requests, and vendor coordination.
  • Ensure the office environment is clean, functional, and reflective of Havenly’s culture.
  • Coordinate weekly team lunches (including Tuesday team lunches) and other in-office engagement initiatives.
  • Plan and execute special events hosted in the Denver office.
  • Foster a welcoming, inclusive, and positive office culture for all employees and visitors.
  • Support onboarding logistics for new hires, including workspace setup and office orientation.
  • Provide general administrative support to leadership and teams as needed.
  • Assist with scheduling shared resources such as meeting rooms and common spaces.
  • Support internal coordination across teams to ensure strong communication and alignment.
  • Exercise sound judgment in prioritizing tasks and handling requests independently.
  • Build and refine systems that improve office operations and internal coordination.
  • Identify inefficiencies and implement scalable solutions.
  • Leverage modern workplace tools and integrate AI into daily workflows to enhance productivity and organization.
