About The Position

The Office Manager is responsible for creating a smooth, organized, and welcoming office environment at our Philadelphia headquarters. This role ensures a seamless workplace experience by managing facilities, supplies, scheduling, and on site coordination, while acting as the primary point of contact for visitors and vendors.

Requirements

  • High school diploma or GED.
  • 5-8 years of experience in an administrative or office management job.
  • Strong organizational skills with attention to detail.
  • Strong proficiency in Microsoft Office Suite.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to multitask and thrive in a fast-paced environment.

Nice To Haves

  • Bachelor’s degree in Business Management, General Business, ora relevant field.
  • Previous team leadership experience.
  • Military experience is a plus.

Responsibilities

  • Serve as the first point of contact for visitors, callers, and incoming inquiries, directing and screening as needed.
  • Support members of the leadership team with administrative tasks as needed.
  • Oversee daily office operations including facilities, supplies, mail, parking, and equipment.
  • Maintain a clean, safe, and organized office environment.
  • Manage office inventory, purchasing, vendor coordination, and invoice tracking.
  • Open and close the office as needed and ensure security protocols are followed.
  • Manage a team of office support staff, providing direction, coordination, and on the job support as needed.
  • Coordinate conference room scheduling, setup, and supplies.
  • Manage hospitality needs for meetings and small events.
  • Partner with the Events Manager and Executive Assistants on scheduling and logistics for corporate events.
  • Receive, track, and distribute incoming deliveries.
  • Other duties as assigned.
