Requirements

  • 1–2 years of office management, administrative, or executive assistant experience required
  • Genuinely warm, gracious, and service-oriented personality—someone who takes pride in making others’ work lives easier and better
  • Exceptionally organized with outstanding attention to detail; you keep meticulous track of supplies, schedules, and tasks
  • Proactive and resourceful—you identify what needs to be done and handle it without being asked
  • Strong written and verbal communication skills; professional, friendly, and clear in all interactions
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office technology (Concur)
  • Ability to manage multiple priorities simultaneously in a fast-paced, dynamic environment
  • A positive, can-do attitude and genuine enthusiasm for being part of a high-performing team

Responsibilities

  • Serve as the first point of contact for all office operations—maintaining a clean, organized, welcoming, and fully stocked environment every single day
  • Manage visitor parking validation and coordinate parking access onboarding for incoming employees
  • Manage and maintain office supply inventory with zero-tolerance for stock shortfalls; proactively reorder supplies before they run low
  • Keep the kitchen, snack bar, and beverage station fully stocked, fresh, and inviting—anticipating team preferences and seasonal needs
  • Coordinate with building management on facility maintenance, repairs, and service requests
  • Manage relationships with vendors, delivery services, and office service providers
  • Set up conference rooms and common areas for meetings, ensuring everything is prepared and presentable in advance
  • Manage incoming and outgoing mail, packages, and deliveries with accuracy and urgency
  • Maintain an organized filing and records system—both physical and digital—ensuring
  • Coordinate travel arrangements, calendar scheduling, and logistical support for leadership as needed
  • Track office-related expenses and assist with invoice processing and vendor billing
  • Draft and send internal communications, announcements, and reminders on behalf of the team
  • Maintain office procedures documentation and continuously look for ways to improve workflows
  • Welcome guests, clients, and new hires with warmth, professionalism, and enthusiasm—setting the tone for the Speed Bay experience
  • Assist with onboarding logistics for new team members, including workspace setup, equipment coordination, and first-day orientation materials
  • Plan and coordinate office events, team lunches, celebrations, and morale-boosting initiatives
  • Foster a positive, inclusive office atmosphere where everyone feels supported and at ease
  • Provide administrative support to senior leadership, including scheduling, correspondence, and special projects as needed
  • Anticipate needs and take initiative to resolve issues before they become problems
  • Maintain strict confidentiality with sensitive company and personnel information
  • Take on ad-hoc projects as directed by leadership, approaching each task with a positive, solutions-oriented mindset
