About The Position

The Operational Hub We are a highly successful 31-year-old real estate investment and management company with in-person and remote professionals. Are you detail-loving and organized? While this role is remote, you are responsible for the "digital and physical infrastructure" of the firm. You will ensure our corporate filings are current, our staff is equipped with the right technology, and our internal property and asset management teams have the administrative support they need to thrive. This role requires a "system-builder" mindset—someone who doesn't just manage tasks but improves the processes behind them.

Requirements

  • 5+ years of experience in office management, operations, or senior executive assistance
  • High proficiency in managing website CMS platforms (WordPress/Squarespace)
  • High proficiency in IT ticketing coordination
  • High proficiency in advanced document management systems
  • Familiarity with corporate filing requirements and administrative compliance
  • World-class written and verbal English

  • Detail-oriented mindset: understand that a missed corporate filing or a broken laptop has a direct impact on firm performance.

Responsibilities

  • Take full ownership of maintaining Annual Corporate Filings across all entities to ensure the firm remains in good standing.
  • Perform regular maintenance on the company website, ensuring content is updated, links are functional, and the digital storefront reflects our current portfolio.
  • Oversee the scanning, digital filing, and organization of high-priority documents, ensuring they are easily accessible to the legal and investment teams.
  • Manage the lifecycle of company laptops and IT equipment. You will coordinate with Kevin Bross to resolve technical issues, track hardware assignments, and manage the procurement of new technology.
  • Serve as an admin for internal tools, managing user access and troubleshooting common platform issues for the remote and in-person teams.
  • Manage the procurement of office supplies for our physical locations (ordering remotely) and oversee the processing of incoming mail and digital correspondence.
  • Attend to the administrative needs of our Regional Managers (RM) and Property Managers (PM), acting as a "force multiplier" for the field teams.
  • Design and execute internal surveys, including the Anonymous Staff Survey, to gauge team sentiment and provide actionable data to leadership.
