About The Position

Ergon, Inc. is seeking an Office Manager to provide administrative, organizational, and operational support for the Corporate Operational Excellence team. This role is responsible for coordinating office operations, supporting departmental initiatives, managing records and documentation, scheduling and communications, and ensuring efficient administrative processes across the department. The position serves as a key resource for maintaining organization, supporting team effectiveness, and facilitating Operational Excellence initiatives. Requirements

  • High school diploma or GED
  • 3-5 years of office administration, executive support, office management, or project coordination experience. Equivalent combination of education and experience may be considered.
  • Experience maintaining records, databases, and confidential information
  • Proficiency with Microsoft Office Suite, especially Excel, Word, PowerPoint, Outlook, and Teams
  • Strong organizational and document management skills.
  • Excellent written and verbal communication abilities.

Nice To Haves

  • Associate degree in Business Administration or related field preferred.
  • Experience supporting operational, business process improvement, or project-based teams preferred.
  • Advanced proficiency in EDMS platforms and Microsoft Office tools

Responsibilities

  • Manage daily office operations and administrative activities for the Corporate Operational Excellence team.
  • Coordinate calendars, meetings, travel arrangements, and event logistics.
  • Prepare correspondence, presentations, reports, meeting agendas, and meeting minutes.
  • Organize and maintain departmental files and records.
  • Process invoices, purchase orders, expense reports, and other administrative transactions.
  • Coordinate office supplies, equipment, and vendor relationships.
  • Assist with departmental budgeting and expense tracking.
  • Support onboarding activities and administrative coordination for team members.
  • Serve as a point of contact for internal and external stakeholders.
  • Support special projects and continuous improvement initiatives as assigned.
  • Coordinate department communications and maintain distribution lists.
  • Assist in the collection, organization, and reporting of operational performance metrics.
  • Support continuous improvement programs and administrative aspects of Operational Excellence initiatives.
  • Maintain records related to audits, assessments, and corrective action plans.
  • Coordinate training records and documentation for Operational Excellence programs.
  • Support project tracking, action item management, and follow-up activities.
  • Assist with preparation and distribution of departmental reports, dashboards, and presentations.
  • Coordinate logistics for workshops, training sessions, and team meetings.
  • Support cross-functional teams with administrative and project coordination needs.
