Requirements

  • Due to federal contract requirements, applicants must be U.S. citizens and capable of obtaining and maintaining a U.S. Public Trust security clearance. Employment is contingent upon successful completion of the Public Trust investigation.
  • Minimum 6-7 years of relevant work experience
  • Proficient in Microsoft 365 products (experience in SharePoint a plus)
  • Proficiency in using spreadsheet tools to manage large amounts of data
  • Strong Electronic document management system (EDMS/DMS) experience
  • Understanding of construction documentation
  • Excellent communication skills

Nice To Haves

  • A bachelor's degree in business administration or a related field is preferred.
  • Experience utilizing Power BI, Data Studio, Tableau or any equivalent program for data analytics and data visualization, preferred.
  • Prior experience managing people is a plus

Responsibilities

  • Lead the development, implementation, and continuous improvement of document control processes to ensure compliance with owner operator requirements, including document control, cataloging, revision management, and archival standards.
  • Serve as the primary owner of document control governance across the program, ensuring alignment between the owner team, PMC, and contractors.
  • Oversee the document lifecycle for the program, ensuring accurate, timely, and controlled flow of documentation between all stakeholders.
  • Manage and optimize interfaces with the PMC’s EDMS, including workflows, distribution matrices, metadata standards, and system utilization to ensure efficient information exchange.
  • Act as the focal point for document control escalations, proactively identifying bottlenecks and implementing corrective actions.
  • Own and administer project document management platforms (e.g., SharePoint EDMS), ensuring proper structure, access control, data integrity, and usability.
  • Oversee transmittal management processes, ensuring timely review cycles, quality responses, and adherence to project timelines.
  • Establish and monitor document control KPIs (e.g., turnaround times, overdue documents, data quality metrics), reporting progress and risks to project leadership.
  • Drive continuous improvement initiatives, including automation, digitization, and process standardization.
  • Ensure compliance with SOX controls and other regulatory or audit requirements, maintaining proper documentation and audit readiness.
  • Trains team members in processes and document control processes and EDMS as necessary.
  • SOX control responsibilities may be part of this role, which are to be adhered to where applicable.
