About The Position

We're looking for an Office Manager who is passionate about creating an exceptional workplace experience. This role is ideal for someone who enjoys keeping an office running smoothly, supporting employees, building community, and ensuring every detail is taken care of. As our Office Manager, you'll be responsible for the day-to-day management of our Montreal office and employee experience programs. You'll serve as a trusted resource for employees, visitors, and leadership while helping create a workplace that reflects our culture and values.

Requirements

  • 3+ years of experience in office management, administrative management, workplace services, executive support, or a related role.
  • Strong organizational and multitasking skills.
  • Exceptional attention to detail and follow-through.
  • Strong interpersonal and communication skills.
  • Ability to build positive relationships across all levels of an organization.
  • Experience managing vendors, office services, and workplace logistics.
  • Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to work onsite in Montreal.
  • Bilingual in French and English, with the ability to communicate fluently (written and verbal) in both languages to support employees and visitors in Quebec, across Canada, and within the United States
  • Must be willing to work in our Montreal office a minimum of 4 days a week.
  • Must be willing to work overtime when required, in accordance with Quebec labor standards.
  • Must be legally authorized to work in Canada.
  • Must be willing to travel for work related business, if necessary

Responsibilities

  • Oversee the daily operations of the office to ensure a welcoming, organized, and productive workplace.
  • Serve as the primary point of contact for office-related questions and employee support.
  • Coordinate office maintenance requests and liaise with building management, facilities teams, and service providers.
  • Manage office supplies, equipment, inventory, and ordering processes.
  • Coordinate catering, meeting logistics, and hospitality services for visitors, candidates, and team events.
  • Support the planning and execution of employee engagement activities, celebrations, recognition programs, and social events.
  • Assist with new hire onboarding, workspace preparation, and office orientation.
  • Coordinate conference room scheduling, office communications, and workplace announcements.
  • Manage vendor relationships and support invoice processing and purchase requests.
  • Welcome guests and help ensure a positive experience for candidates, partners, and visitors.
  • Support workplace health, safety, and security initiatives.
  • Maintain office organization, presentation, and overall employee experience standards.
  • Provide general administrative support to office leadership as needed.
