About The Position

The Office Manager will manage the Idaho Falls office staff schedules and work assignments, answer incoming phone calls, assist with managing counselor schedules by scheduling clients, greet and check-in clients, update the company directory and phone list, conduct fire drills and safety inspections, compile counselor reports, complete employee discussion reports and/or corrective action plans, conduct employee reviews, and monitor and order office and cleaning supplies. This role ensures that various processes such as discharges, psychiatrist schedules, domestic violence programs, incoming faxes, EHR uploads, referrals, client spreadsheets, records requests, reminder calls, balance collection, and client paperwork are completed accurately and efficiently. The Office Manager will also collaborate with the other Office Lead to identify and solve issues, communicate with counselors to support their needs, and perform other duties as assigned. Additionally, they will attend meetings, report client abuse as needed, and maintain employee file documentation.

Responsibilities

  • Manage Idaho Falls office staff schedules and work assignments
  • Answer incoming phone calls and address any concerns or issues
  • Assist with managing counselor schedules by scheduling clients
  • Greet and check-in clients entering the office for services
  • Update company directory and phone list
  • Conduct fire drills and safety inspections on a quarterly basis
  • Check and respond to emails throughout the day
  • Compile counselor reports for Tom and Michelle weekly
  • Complete employee discussion reports and/or corrective action plans as required, along with the HR Director
  • Conduct employee reviews as assigned and outlined in Policies and Procedures
  • Monitor the need for and order office and cleaning supplies as needed
  • Ensure that processes such as discharges, psychiatrist schedule, domestic violence program, incoming faxes, scanning and uploading paperwork to the EHR, referrals, master client spreadsheet, records requests, reminder calls, collecting balances on accounts, and client paperwork are being completed accurately and efficiently
  • Identify any pain points and work together to solve any issues or concerns with the other Office Lead
  • Communicate closely with counselors to assist and support any needs they may have
  • Attend meetings as assigned
  • Report client abuse as needed
  • Maintain all required documentation for employee file including a current enhanced background check
