Requirements

  • This role requires full in-office presence, with availability to work on-site 5 days per week from 7:30 AM - 4:00 PM (minimum of 40 hrs/week).
  • Hospitality Management experience or in a related field.
  • Gap year students welcome.
  • Strong organizational skills with a high level of attention to detail.
  • Reliable, proactive, and comfortable handling routine operational tasks.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage time effectively.
  • Familiarity with Microsoft 365 (Outlook, Word, Excel) and comfort learning internal systems.

Responsibilities

  • Provide daily updates and check-ins with NY leadership on office operations and priorities.
  • Maintain a clean, organized, and well-stocked office environment across kitchen and common areas.
  • Manage visitor logistics by maintaining guest lists, handling conference room setup and scheduling, and preparing and distributing access badges.
  • Coordinate catering and serve as the point of contact for office events and meetings.
  • Oversee office inventory on a weekly basis, ensuring accurate categorization by tracking supplies, snacks, and equipment while anticipating ongoing needs.
  • Obtain a well-balanced receipt tracking system to submit to our Finance Department frequently.
  • Serve as the primary point of contact for building-related requests, including submitting work orders and coordinating with property management.
  • Oversee daily office operations, including administrative tasks such as handling incoming and outgoing mail and packages, assisting with onboarding logistics, and supporting the HR and Recruitment Team.
  • Track and submit office-related expenses on a weekly basis, ensuring accurate categorization.
  • Monitor internal systems.
