About The Position

This position is critical to the effective functioning of the College of Behavioral & Community Sciences and Rouson Center by ensuring that administrative, financial, and operational processes run smoothly. The incumbent interprets and implements university policies in daily practice; manages procurement needs, reconciliation, provides operational support and proactively resolves operational issues to minimize disruptions. This role supports both the College of Behavioral & Community Sciences and Rouson Center in their strategic goals, mitigating operational risk, and translating vision into efficient, sustainable operations.

Requirements

  • Bachelor’s degree in business administration, Public Administration, Higher Education, or a related field.
  • Four years of progressively responsible administrative experience, preferably in higher education or similar complex organization.
  • Demonstrated experience with budget monitoring, fiscal transactions, and basic financial reporting.
  • Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple tasks and deadlines.
  • Effective written and verbal communication skills and demonstrated commitment to providing inclusive, customer-centered service.

Nice To Haves

  • Bachelor’s degree in business administration, Public Administration, Higher Education, or a related field; master’s degree preferred.
  • Four or more years of administrative experience in an academic department or comparable setting, including responsibility for budget monitoring and/or academic operations.
  • Demonstrated experience using enterprise administrative systems (finance, HR, student information) and intermediate to advanced Excel skills.
  • Experience preparing reports and summaries for leadership, including budget, enrollment, or workload data.
  • Demonstrated ability to work effectively with diverse faculty, staff, and students and to communicate policy and process changes clearly

Responsibilities

  • Fiscal reconciliation and processing to include tracking and reporting on departmental funds and maintaining internal spreadsheets of expenditures and balances. This includes current fund balances, recurring and non-recurring funding.
  • Initiate purchase requisitions, travel requests, and payment/reimbursement forms; reconcile P-Card charges.
  • Manage Papercut and Xerox process for the college.
  • Manage Foundation Check Requests.
  • Manage daily office operations, reception, and customer service for faculty, staff, students, and visitors.
  • Coordinate office supplies, equipment maintenance, document retention, and routine facilities/IT requests.
  • Maintain departmental calendars.
  • Support scholarship processes, student awards, and routine academic reporting.
  • Other administrative assistance to management such as creating data spreadsheets and other data management tasks.
  • Manage the CBCS in-house swag items and Dean’s office space planning.
  • Performs other office administration duties as required to support the mission and function of the area of responsibility.
  • Provide logistical support for department meetings and guest speakers.
  • Provide support for all CBCS annual events (Fall Assembly’s, Faculty Fall Orientation, Welcome back breakfast, Length of Service, Dean’s award and more).
  • Assist with reporting and basic documentation for annual evaluations.
  • Coordinate and provide logistical support for departmental events such as seminars, colloquia, and open houses.
