About The Position

GCC & Associates is looking for an Office Manager to be the operational center of a small, close-knit consulting firm. This role involves managing payroll and benefits, client invoicing, HR and compliance, and coordinating operations to keep principals and project teams moving. The position offers significant range and visibility, with direct work alongside the founder, insight into the entire business, and the opportunity to shape operations as the company grows. GCC & Associates is a Service-Disabled Veteran-Owned firm specializing in large, complicated construction and infrastructure projects. Requirements

  • Bachelor’s degree.
  • 5+ years of professional experience.
  • Advanced Microsoft Word, Excel, and PowerPoint skills, with a strong emphasis on Excel.
  • Hands-on experience with proposals, contracts, invoicing, and payroll.
  • Comfort supporting an executive team on proposals and deliverables, including schedules, spreadsheets, and progress metrics.
  • Strong written and verbal communication skills, excellent interpersonal instincts, and a genuine interest in working with people.
  • Proactive and self-directed.
  • Authorized to work in the United States without current or future visa sponsorship.

Nice To Haves

  • Military service.
  • Experience with QuickBooks Online, ADP, QuickBooks Time (TSheets), or Adobe Acrobat DC.
  • Familiarity with engineering, design, construction, or infrastructure projects.
  • Experience with collaboration tools like Zoom, Microsoft Teams, WebEx, SurveyMonkey, Poll Everywhere.
  • 2+ years in a customer-facing or client service role.

Responsibilities

  • Run payroll end to end and administer employee benefits and the 401(k).
  • Prepare and issue client invoices, track receivables, and manage accounts payable.
  • Handle onboarding and offboarding, maintain multi-state labor law compliance, update the employee handbook, and coordinate with outside counsel.
  • Maintain certificates of insurance and company certifications, and ensure records are audit-ready.
  • Coordinate meetings, travel, and calendars for principals, and assist in assembling proposals and client deliverables (schedules, spreadsheets, progress reports).
