About The Position

Eurofins Scientific is an international life sciences company providing a unique range of analytical testing services. This role is for an Office Manager/Administrative Assistant who will be responsible for greeting visitors, managing site visitor logs, and organizing incoming mail. The position involves stocking office supplies, snacks, and beverages to ensure a pleasant working environment. Key duties include maintaining company organizational charts, providing administrative support for new hire onboarding, and updating the site security badge management system. The role also supports the onsite activities team with event coordination, catering, and vendor management. Additionally, the Office Manager/Administrative Assistant will handle administrative tasks such as processing expense reports, purchasing office supplies, requesting purchase orders in Coupa, and serving as the primary contact for external contractors and suppliers. The position requires cross-functional support for EHS/Facilities and adherence to environmental health and safety requirements.

Requirements

  • 2+ years of office administration experience handling administrative, accounting, and office management related tasks.
  • High school diploma.
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Regular attendance and punctuality.

Responsibilities

  • Greet visitors, manage site visitor logs, and organize and distribute incoming mail.
  • Stock office with office supplies, snacks, and beverages to ensure a pleasant working environment.
  • Maintain company organizational charts.
  • Provide administrative support for onboarding new hires, including calendaring onboarding sessions and distributing new hire swag bags.
  • Update the site security badge management system.
  • Provide administrative support to the onsite activities team by assisting with event set-up and clean-up and outside catering or vendor coordination.
  • Serve as the primary point of contact for on-site meetings, including coordinating meeting locations and catering.
  • Support office administrative tasks such as processing expense reports for department heads and purchasing office supplies.
  • Request purchase orders (POs) in the Coupa purchasing software platform.
  • Act as the primary point of contact for external office contractors, cleaners, and suppliers for scheduled maintenance.
  • Demonstrate and promote the company vision.
  • Provide cross-functional support to EHS/Facilities.
  • Perform other duties as assigned.
  • Adhere to site environmental health and safety (EHS) requirements.
