Office Coordinator Location: Alpharetta Part-time: 3 Days a Week (Tues, Weds, Thurs: 15 -20 Hours) Role Summary The Office Coordinator is responsible for ensuring the efficient, organized, and professional operation of the office environment while providing administrative, facilities, and operational support across the organization. The role handles a broad range of tasks including office supply purchasing, mail and shipment coordination, facilities vendor management, and calendar support when needed. This position also serves as the primary point of contact for office renovations, construction activities, and relocation efforts, coordinating contractors and ensuring clear communication throughout. In addition, the Office Coordinator provides backup support to the Sr. Executive Assistant when the Sr. Executive Assistant is absent. The Coordinator assists with office events and contributes to maintaining a positive, well‑functioning workplace for all employees.

Requirements

  • High school diploma required.
  • 1–3 years of experience in office administration or facilities coordination.
  • Proficiency in Microsoft Outlook, Excel, Word, and Teams.
  • Comfortable with office equipment and courier systems.
  • Strong organizational skills.
  • Detail‑oriented, especially with data entry.
  • Excellent communication skills.
  • Ability to work independently and prioritize tasks.
  • High discretion with confidential information.
  • Proactive problem-solving.
  • Ability to lift/move supplies up to 20–25 lbs.
  • Able to navigate the office to support facilities needs.

Nice To Haves

  • Diploma or certificate in Office Administration, Business Administration, or related field is an asset.
  • Experience with calendar management is an asset.
  • Experience coordinating contractors or office moves preferred.
  • Experience with expense reports is a plus

Responsibilities

  • Maintain a clean, organized, and functional office environment.
  • Manage office supply inventory, purchasing, and vendor relationships.
  • Coordinate the receipt, distribution, scanning, and logging of mail.
  • Manage incoming and outgoing shipments, including preparation, tracking, and courier coordination.
  • Serve as the primary point of contact for general office inquiries from staff.
  • Act as the key contact for facilities‑related issues, coordinating with service providers.
  • Oversee facility invoices and support approval workflows.
  • Serve as the point person for office renovations, construction projects, and/or relocations.
  • Schedule and supervise contractors and communicate updates.
  • Proactively identify and address facility issues.
  • Provide minor scheduling assistance for executives. (Only when Sr. EA is on PTO/OOO)
  • Support office-wide communications and event logistics.
  • Assist colleagues with administrative needs.
  • Assist with planning and executing office events.
  • Support onboarding activities such as workspace setup and access coordination.
