We’re looking for an Office Coordinator to join our Toronto office. This is a full time, in office role. Applicants must be available to work in our Downtown Toronto office Monday – Friday from 8:30 – 4:30pm. Our office is located at the corner of York & Adelaide St W (near Union Station).

Requirements

  • Exceptional focus on customer service
  • Strong written and verbal communication skills and capable of communicating clearly and professionally across a diverse range of stakeholders
  • Superb attention to detail, with a preference for being thorough, and able to monitor work for quality
  • Excellent computer skills, including proficiency in the Microsoft Office suite
  • A flexible attitude and willingness to go above and beyond for customer satisfaction
  • Ability to prioritize and multi-task in a busy and sometimes ambiguous environment
  • Demonstrated independence, with an ability to problem solve and provide guidance to others and comfort in taking initiative on resolving issues
  • Comfortable working in a fast-paced environment
  • Must have the right to work in Canada.

Responsibilities

  • Be the face of Nous in Toronto and a key part of our broad office operations team.
  • Provide practical office and reception support to national and international offices.
  • Support the day-to-day operational and administrative functions for Nous’ Toronto and Vancouver offices including managing stock supplies, approving invoices, managing room bookings and keeping the space tidy, and setting up for workshops / events / meetings where required.
  • Provide reception and phone support for the Toronto and Vancouver office and act as a shared support point for other Nous offices, including answering calls and emails, coordinating couriers, and responding to day‑to‑day office queries.
  • Liaise with building management for office maintenance, repairs, cleanliness and security.
  • Organize and execute office events that foster our culture of care and connection.
  • Ensure a smooth process for new starters, leavers, and secondees, which may include scheduling meetings, booking travel and ensuring desk-set ups.
  • Drive continuous improvement in administrative processes and systems.
  • Build relationships across the Toronto office and contribute as an integral member of Nous’ broader corporate and office operations community.
  • Champion Work Health & Safety and security in the office, including coordinating first aiders and fire wardens, overseeing emergency management, acting as a key member of the Joint Health & Safety Committee.
  • Act as the Toronto office liaison with the local and international IT teams to address and resolve any IT-related issues.
  • Provide operational support to Nous Data Insights staff, including coordinating travel, scheduling meetings, managing calendars and supporting day-to-day operational needs.
  • Manage key in-person and virtual events, including coordinating venues, timelines, logistics and ensuring a strong attendee experience.
  • Update and maintain CRM systems to enable accurate tracking and visibility of business development activities.
  • Work with global NDI marketing teams to support key marketing communications, and campaigns.
  • Support special projects, operational research and ad hoc requests as assigned.
