About The Position

The Office Coordinator plays a critical role in supporting the Day Program operations by providing exceptional customer service, managing office administration, and leading key components of the new employee onboarding process. This position serves as a primary point of contact for visitors, staff, and external partners while ensuring efficient and compliant office and HR support.

Requirements

  • Must have a valid driver’s license that is in good standing and valid for one year with driving experience

Responsibilities

  • Serve as a primary coordinator for onboarding new staff
  • Connect with new hires prior to their start date to provide guidance and support
  • Schedule and complete Day 1 New Hire Orientation (NHO)
  • Ensure completion of all required online training modules
  • Facilitate and coordinate remaining NHO activities with internal departments and stakeholders
  • Greet and assist all visitors to the Day Program, including vendors, families, insurance case managers, staff, and participants
  • Answer and route incoming phone calls in a professional and courteous manner
  • Act as a welcoming and knowledgeable point of contact for internal and external partners
  • Manage daily office operations to maintain an organized, efficient, and professional environment
  • Process invoices, maintain contracts, and stream/process checks
  • Handle outgoing mail and deliveries, including trips to the post office
  • Coordinate logistics for meetings, trainings, and out-of-state visitors, including ordering food and ensuring workspaces are clean and prepared
  • Maintain accurate and confidential employee files and HR documentation
  • Assist with billing processes and verify program census data
  • Provide general administrative and clerical support to program leadership as needed
  • Provide general administrative support as needed to support program operations and leadership
  • Running short errands; meaning you must have a valid driver’s license that is in good standing and valid for one year with driving experience
  • Perform other related duties as assigned
