About The Position

The Office Coordinator provides administrative and front-office support for United Cerebral Palsy of South Carolina (UCPSC). This position serves as the first point of contact for visitors, employees, and callers, ensuring a professional and welcoming experience. The Office Coordinator is responsible for managing front desk operations, coordinating office activities, assisting with facility and utility-related issues, and providing basic information technology support to employees. This role requires strong organizational skills, excellent customer service, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or GED required.
  • Two years of administrative, customer service, office coordination, help desk, or technical support experience required.
  • An equivalent combination of education and experience may be considered.

Nice To Haves

  • Associate degree in Business Administration, Office Administration, Information Technology, or a related field preferred.

Responsibilities

  • Greet and assist visitors, vendors, and guests in a professional and courteous manner.
  • Answer, screen, and route incoming telephone calls to the appropriate staff members or departments.
  • Monitor and manage shared office email accounts and respond to routine inquiries.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Coordinate outgoing mail, shipments, and courier services.
  • Maintain office supplies and place orders as needed.
  • Assist with meeting preparation, room scheduling, and administrative projects assigned.
  • Maintain organized office files, records, and documentation.
  • Serve as a point of contact for facility-related concerns and service requests.
  • Assist with reporting and coordinating utility outages, service interruptions, and maintenance issues.
  • Communicate with vendors and contractors as directed.
  • Track Operations Department work orders and ensure timely follow-up on outstanding issues.
  • Support office safety, security, and emergency preparedness activities.
  • Provide first-level technical support to employees for computers, printers, copiers, phones, and other office technology.
  • Assist with employee equipment deployment and basic troubleshooting.
  • Coordinate service requests and support tickets with Help Desk via Managed IT Services vendor.
  • Assist with maintenance of inventory records for office technology equipment.
  • Assist employees with Microsoft 365 applications, account access, and routine technology needs as needed.
  • Support audio/visual setup for meetings, presentations, and virtual events.
  • Maintain confidentiality of sensitive organizational and employee information.
  • Promote a positive, professional, and customer-focused office environment.
  • Perform other duties and special projects as assigned.
