The UCSF MESA Program, housed within the Center for Science, Education and Outreach (CSEO), has been providing programs and services since 1999 to support student academic success, increase college-going rates, and encourage exploration of STEM careers.

Requirements

  • 1+ years of related experience
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common organization-specific and other computer application programs.
  • Ability to use discretion and maintain confidentiality.

Responsibilities

  • Manage or perform administrative services or manage the full general operations of an academic or non-academic organization(s).
  • Oversee a variety of ongoing administrative operational issues using professional concepts and applying organization policies and procedures.
  • Administer a defined operational program or activities, which may include finance, facilities, payroll, space planning, student services, human resources, communications, informational technology, or safety.
  • Ensure strong and effective administration for the office of the Assistant Vice-Chancellor and the staff of the Center for Science, Education and Outreach.
  • Manage day-to-day administrative operations related to the Center for Science, Education and Outreach (CSEO).
  • Process and monitor program/center financial transactions (Accounts payable and receivables) and work with CSEO Directors to understand program financial transaction needs.
  • Serve as the main contact for all IT CSEO requests.
  • Coordinate all CSEO website updates.
  • Ensure all equipment and open spaces are in good working condition.
  • Coordinate, schedule, and update calendars for various meetings and events as needed.
  • Order supplies and maintain the daily operation of the resource centers.
  • Support the AVC's calendar and the center's master calendar.
  • Draft presentations on behalf of the AVC.
  • Function as a resource on issues such as supporting event operations, escalated customer service problems, and vendor concerns.
  • Manage event logistics with administrative support, coordination, and promotion of all program events sponsored by CSEO.
  • Coordinate CSEO related events, including purchasing, food orders, space requests, event marketing, and overall coordination.
  • Manage event-related data, including RSVP/Check-In, distribution and collection of evaluation forms, and event outcome assessment reports.
  • Advise and assist Program Directors in analyzing the logistical success of programs based on cost, attendance, resource usage, and participant feedback post-program.
  • Manage the event evaluation process, including data collection and collaboration with the office’s Deputy Director to analyze results.
  • Gather and analyze financial and other resource data; prepare reports or analyses of operational activities, and evaluate current and proposed services.
  • Create and manage events budget and projection for events in consultation with CSEO’s AVC.
  • Monitor expenses, time consumption, and resources used for projects to budget for future projects.
  • Maintain accurate accounting information for all accounts in compliance with UCSF accounting procedures and reporting practices.
  • Assist with Office of Opportunity and Outreach special projects and special duties as assigned.
  • Serve as backup to the Executive Analyst and the Special Projects coordinator as necessary.
