This position is contingent upon contract award and is expected to be based in Hawthorne, Nevada. As an Office Coordinator, you will play a key role in supporting daily office operations and ensuring efficient site administration. This position is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys supporting both people and processes.

Requirements

  • High school diploma or equivalent required
  • Minimum of 2 years of administrative or office support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Valid driver’s license may be required.
  • Must be legally authorized to work in the United States without sponsorship.

Responsibilities

  • Manage daily office operations, including scheduling, correspondence, filing systems, and supply inventory.
  • Serve as the primary administrative point of contact for site personnel, visitors, and external vendors.
  • Coordinate meetings, conference calls, and site visits, including logistics and documentation.
  • Support onboarding activities, including new hire paperwork, badging, and orientation scheduling.
  • Assist with procurement activities, including purchase requests, tracking orders, and vendor coordination.
  • Ensure proper recordkeeping for safety, environmental, and operational documentation.
  • Handle incoming calls, emails, and mail distribution in a professional and timely manner.
  • Maintain confidentiality of sensitive information and personnel records.
  • Assist with special projects and administrative tasks as needed.
