About The Position

Manages secretarial and office support services. The Independence Education Center (IEC) is a self-contained building for students at the K-12 level who require intensive behavioral supports to meet their educational goals. The IEC strives to provide students with opportunities to succeed and grow as individuals in a therapeutic environment that encourages students to take healthy chances and feel good about themselves. This program is an option for students with disabilities requiring this level of support per their individualized education program.

Requirements

  • High school diploma or GED.
  • Secretarial/office technology training and work experience.
  • Ability to analyze and communicate complex information in easy to understand formats.
  • Ability to implement principles of office administration (i.e., organization, procedures, etc.).
  • Displays flexibility, reliability, self-discipline and a willingness to take on challenging tasks.
  • Documents/maintains a record free of criminal violations that prohibit public school employment.
  • Effective communication, problem-solving and time management skills.
  • Embodies high ethical standards/integrity.
  • Accepts responsibility for personal decisions/conduct.
  • Follows complex instructions.
  • Recognizes and corrects errors independently.
  • Employees must obtain training and maintain skills to fulfill compliance requirements applicable to the position as required by board policy and state/federal law.

Responsibilities

  • Performs office management and ancillary duties that facilitate the timely attainment of service center objectives.
  • Keeps informed about program/procedure changes.
  • Manages concurrent responsibilities effectively in a dynamic and challenging work environment.
  • Addresses issues that arise during the supervisor’s absence.
  • Communicates actions appropriately.
  • Helps select highly-qualified department staff.
  • Assists with department orientation programs.
  • Checks completed tasks to ensure compliance with specified standards.
  • Helps develop effective solutions for work-related problems.
  • Assumes responsibility for the results of delegated duties.
  • Helps evaluate staff performance.
  • Collects and organizes information.
  • Verifies the accuracy of data.
  • Creates documents, files records, maintains database information, prepares spreadsheets, etc.

  • Files and retrieves information.
  • Prioritizes tasks.
  • Completes assignments within required time-frames.
  • Acknowledges office visitors.
  • Answers routine questions or directs inquiries to appropriate staff.
  • Answers/directs telephone calls.
  • Communicates accurate messages when staff is not present.
  • Sorts/distributes mail.
  • Prepares photocopies.
  • Scans documents.
  • Collates printed materials.
  • Complies with service center purchasing procedures.
  • Investigates vendor prices.
  • Reorders office supplies as needed to maintain reliable service levels.
  • Maintains procurement files (e.g., confirmations, contracts, correspondences, guarantees, etc.).
  • Inspects shipments for shortages and/or damaged contents.
  • Verifies deliveries with packing lists/purchase orders.
  • Reconciles invoices for payment.
  • Maintains an account ledger.
  • Provides back-up support for other departments.
  • Assists with special projects as directed.
  • Exemplifies professionalism to enhance NwOESC and member district public images.
  • Establishes/maintains positive working relationships with all member school districts.
  • Develops mutually respectful relationships with co-workers.
  • Functions as part of a cohesive team.
  • Maintains an acceptable attendance record.
  • Provides prompt notice of delays or absences.
  • Maintains a professional appearance.
