As an Office Coordinator, you will serve as a critical administrative resource supporting multiple recycling facilities, operational leaders, and front-line teammates. This role ensures business processes, reporting, compliance activities, financial transactions, and customer service functions are completed accurately and on time. The Office Coordinator helps keep daily operations running efficiently by providing support to facility management, commercial teams, scale operations, and accounting functions while maintaining a high level of organization and professionalism.

Requirements

  • Minimum 3 years of office or administrative experience.
  • Strong customer service and communication skills.
  • Ability to work independently in a fast-paced environment.
  • Strong organizational, time management, and multitasking abilities.
  • Proficiency with Microsoft Office applications, including Excel and Word.
  • Ability to follow written and verbal instructions with limited supervision.
  • Dependable attendance and reliability.
  • Ability to meet deadlines while managing shifting priorities.

Nice To Haves

  • Experience in the scrap recycling, construction, manufacturing, or industrial industries.
  • Bilingual skills.
  • Prior experience supporting multi-site operations.
  • Experience with purchasing, accounting, freight, or compliance-related administrative functions.

Responsibilities

  • Support daily, weekly, and monthly administrative functions for assigned facilities.
  • Process ticket adjustments, freight entries, reports, bill payments, compliance documentation, and account reconciliations.
  • Provide support and guidance to scale and cashier operators regarding systems, procedures, cash handling, and purchasing compliance.
  • Assist Facility Managers with purchase orders, inventory issues, ticket purchases, and operational compliance questions.
  • Partner with Commercial Team members to support customer service requests, freight administration, pricing updates, and adjustments.
  • Provide backup support for Commercial Administration functions during absences or transitions.
  • Assist with month-end close activities and administrative audits.
  • Maintain positive internal and external customer relationships through professional communication and service.
  • Cross-train in Scale Operator and Cashier functions to provide procedural support and training.
  • Complete additional assignments as directed by the Office Supervisor.
  • Initiate, lead, and uphold safety policies, practices, procedures, and housekeeping standards at all times.
