About The Position

This position performs complex administrative and management support tasks with discretionary authority, independently making decisions that substantially impact operations within and outside the designated unit/program. The role administratively supervises comprehensive office operations and support staff for the department/unit. The Office Associate, Senior will provide administrative support for both the undergraduate and graduate programs of the Mathematics & Statistics department, overseeing all administrative aspects including course scheduling, student records, application processing, and data analysis for accreditation. The role also manages the department's office operations, ensuring exemplary customer service and communication. Additionally, it supports faculty reappointment, tenure, promotion, and search processes, hires and trains student workers, and provides administrative support to department leadership, including managing databases, preparing meeting minutes, and coordinating website maintenance. The position also manages the department's physical plant, including room assignments and office maintenance, and coordinates laboratory physical plant needs. Supplemental functions include assisting with special projects, researching and finalizing reports, and serving on college and university committees.

Requirements

  • Associate’s degree or equivalent combination of education and experience
  • 1 year progressively responsible work-related experience

Responsibilities

  • Provide administrative support for the undergraduate programs of the Mathematics & Statistics department, including scheduling courses, assigning rooms, maintaining student records, processing petitions, preparing information for the general bulletin, tracking student degree checks, developing administrative tools, and collecting data for ABET accreditation.
  • Provide administrative support for the graduate programs of the Mathematics & Statistics department, including processing applications, preparing acceptance/denial documents, communicating with incoming students, tracking student progress, resolving issues with the Registrar, maintaining student records, preparing information for the general bulletin, scheduling graduate courses, assigning rooms, maintaining a database of graduate student records, and developing administrative tools.
  • Oversee the Mathematics & Statistics department's office operations, ensuring exemplary customer service, problem resolution, and intra-departmental communication.
  • Provide administrative support to the annual reappointment, tenure, and promotion process, annual faculty review process, and manage faculty searches.
  • Hire, train, and supervise student workers in the department.
  • Provide administrative support for the Mathematics & Statistics department leadership, including preparing administrative documents, scheduling advisory board meetings, maintaining a database of advisory board members, preparing minutes, maintaining a donor database, preparing receipt/thank you letters, managing teaching evaluations, coordinating website maintenance, developing a department newsletter, and coordinating with College personnel.
  • Manage the non-laboratory physical plant for the department, including room assignments for faculty, staff, and students, coordinating office maintenance and painting, and identifying office equipment needs.
  • Coordinate laboratory physical plant needs of the department with faculty.
  • Work closely with the Undergraduate Coordinator and the CEPS Center for Student Success as needed for undergraduate programs.
  • Assist with special projects as needed.
  • Research, develop, and finalize reports/surveys to the Dean's Office, administration, and outside agencies.
  • Serve on College and University committees as appropriate.
