About The Position

This position serves as administrative support for Maine CDC’s Administration and Operations team, which is responsible for directing financial, grant, contract, and program support. It is a highly visible role supporting the Office Manager and other departments. The position functions as the primary contact for Maine CDC's mainline inbound phone calls and provides administrative support to programs. Daily responsibilities include managing inbound and outgoing mail, assisting with building operational needs, and learning all CDC programs to provide administrative support to other programs as needed.

Requirements

  • Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex office support tasks that are similar in nature, and 2) the ability to use independent judgment in handling exceptions to established work assignments, priorities, and schedules.
  • All positions in this classification assume the qualifications of: Office Assistant I, and Office Assistant II.

Responsibilities

  • Maintain cell phone inventory, program, troubleshoot, return to factory settings and ship to vendor or surplus as appropriate.
  • Update and maintain all staff listings, program listings and floor listings for the building.
  • Train all administrative support staff in phone tree coverage, how to transfer callers to the appropriate programs and services, appropriate logging of calls and any supporting reference materials.
  • Primary contact of surplus supplies, scheduling of pick-ups and escort of surplus staff when they are in the building.
  • Primary contact for meeting supplies and conference equipment for outreach and education events and meetings, includes signing equipment in and out.
  • Project specific work as assigned.
  • Administrative tasks including photocopying, shredding, distribution of faxes, file preparation, maintaining floor cleanliness, monitoring and maintaining breakroom and Wellness room.
  • Provide flexible operational coverage and support to high-need Divisions to balance workload.
