About The Position

This position is responsible for managing our front desk Monday - Friday to perform a variety of administrative and clerical tasks. The primary responsibility is to answer incoming calls and to effectively route those calls to the correct internal resources. The Office Assistant is traditionally the first person our clients, partners, etc. come in contact with before aligning with the Consulting or Delivery teams. It's critical that the Office Assistant be courteous, effective and efficient while handing these incoming calls.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate personnel and office
  • Answer, screen and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Ensure a safe and clean reception area by complying with procedures, rules, and regulations.
  • Ensure all Common areas are kept safe and clean by complying with procedures, rules, and regulations.
  • Maintain office security by following safety procedures and controlling access via the reception desk(monitor logbook, issue visitor badges)
  • Order and manage front office supplies and keep inventory of stock
  • Prepare correspondence and documents
  • Organize conference and meeting room bookings
  • Monitor and maintain office equipment
  • Offer administrative support across the organization
  • Performing ad-hoc administration duties
